MASSAGE THERAPY CLINIC POLICY UPDATE - EFFECTIVE MAY 1/26

We understand that unanticipated events can occasionally disrupt your schedule. In our commitment to fairness to all patients and respect for your massage therapist’s time, we ask that you provide at least 24 hours’ notice if you need to cancel or change your scheduled appointment, including changes to appointment duration. 

Changes to appointments with less than 24 hours notice, including cancellations, rescheduling, changes to appointment duration, and no-show appointments will be charged the full appointment fee. This fee will automatically be charged to the credit card on file. This amount must be paid prior to booking your next massage therapy appointment. Failure to provide prompt payment will result in all future appointments being cancelled until the payment is made in full. Patients must have a valid credit card on file. There are no exceptions to our credit card and cancellation policy. The cancellation fee cannot be billed to extended health insurance. 

If subsequent no shows or last minute cancellations occur, the massage therapist reserves the right to a) require and collect a non-refundable deposit of 100% of the service fee upon booking, b) disable patients online booking privileges, c) discharge patient for not complying with clinic policies. These measures help ensure that appointment times are used effectively and remain available to patients who are ready and able to attend.

As a courtesy, automated email and/or text reminders are sent to you in advance of your appointment to remind you, if you have opted in and provided that contact information. However, this is a courtesy service and it is still your responsibility to attend your scheduled appointment in the event that the automated reminders are unsuccessful. 

If you were redeeming a gift certificate to pay for the appointment, it will be considered used and no longer valid. Gift card number at the time of booking or a credit card on file is required for patients paying with gift certificates.

Please note that if you arrive late to your appointment, your appointment will end at the originally scheduled time and the original scheduled fee will still apply. Out of respect and consideration to your massage therapist and other clients, please plan accordingly and be on time.

We can verify eligibility for some insurance companies; however, we cannot guarantee benefits or payment. It is important that you call your insurance company to find out your benefit information. It is the client’s responsibility to know how much your out of pocket expense will be, including deductibles, co-pays, allowed number of visits and preauthorization.

I acknowledge that I am responsible for full payment of my account. If my insurer issues partial payment or denies my claim, I will pay the balance of my account. Payment can be made by cash, debit, credit or by charging to the credit card on file. A receipt will be provided.

Please be aware that all massage therapy appointments are scent-free. This includes, but is not limited to, perfumes, colognes, lotions, soaps, and smoke. If this policy is not adhered to, please be aware that your appointment may be ended at any time and you will be responsible for the full treatment fee.

Thank you for your understanding and for refraining from wearing fragrance and using heavily scented soap or lotion on the day of your appointment.

Please be aware that when booking a massage therapy appointment, appointment length is the duration that you are in the treatment room. This can include intake and health history discussion, assessment, treatment, stretching, homecare exercises, and time to get on and off the table. These are all important components of massage therapy and allow your Massage Therapist to create the safest and most effective treatment outcome. All of these times will vary appointment to appointment based on the specific patient needs for that day. Appointment length is not limited to the time you are on the table.

Massage therapy requires a mutual respect between the practitioner and patient. Respect for boundaries, time, and environment. If mutual respect is not upheld, the therapeutic relationship cannot continue and will be terminated. The patient will be formally discharged. The therapist will not tolerate any inappropriate behaviors or comments. If the therapist feels the patient is acting inappropriately during the treatment, the treatment will immediately stop, the patient will be discharged and the patient will be responsible for paying the full appointment fee.
